AVADA MEDIA team developed a web-based seat reservation and online ticketing configurator for Ibiza Beach Club, providing a functional solution that meets the requirements of today’s market. This tool allows visitors to visualize the seating plan for guests, select seats, tables or zones, and administrators to flexibly configure the restaurant’s room layout, prices and availability. The interactive room layout builder aims to create a user-friendly system that enables effective customer interaction, sales management and marketing activities.

About Ibiza Beach Club

Ibiza is a popular beach club that operates as a comfortable beach with a swimming pool during the day and at night transforms into a venue for raucous parties and concerts. The main challenge of booking tickets and seats in this type of venues is the flexibility of managing space and reservations to avoid overlaps between day and night formats. AVADA MEDIA developers offered a solution – an interactive online map embedded in an automatic booking system synchronized with the club logistics.

Project idea

Online seating configurator is designed to automate reservations in establishments with complex seating structure: restaurants, concert halls, theaters, festivals. It replaces traditional static schemes with a convenient interactive 2D-map that makes the process of selecting and booking seats much easier and more visual. Users can zoom in to see details of the room; see available and occupied seats at a glance thanks to color indication; get all the necessary information about prices, deposits and categories at a hover; and reserve a table in just a few clicks.

System functionality

  1. Individual customization for the establishment. The system is designed strictly for a particular establishment, taking into account the actual structure, table layout, levels, zones (e.g. lounge and terrace), and architectural features. This ensures maximum display accuracy and convenience for customers.
  2. Interactive 2D map. The hall map is in 2D format and allows the user to freely navigate, zoom in and out. This simplifies navigation and gives an opportunity to look at the areas of interest in more detail.
  3. Visualization of places accessibility. All places on the map are marked with different colors depending on their price and availability. Unavailable places are displayed in gray. The user can immediately see what is free, what is occupied and how much different parts of the hall cost.
  4. Detailed information about seats. When you hover over a particular seat, a window pops up that displays its characteristics – for example, price, deposit, capacity or other parameters needed to make a booking decision.
  5. Interactive selection and booking of seats. The user can click to select the desired seat, specify the number of tickets (if the seat is for several people), and then proceed to ordering and payment. Everything happens right on the map in real time.
  6. Support of several zones (hall/terrace, etc.). If a place has several halls or levels, the user can easily switch between them. Each zone has its own scheme, but the whole system is united in a single interface, which makes working with it intuitive.

The target audience of the seating configurator are owners and managers of establishments, where it is important to organize seating and sell seats with visual reference. First of all, these are nightclubs, bars, concert venues and restaurants, where it is necessary to sell tables with deposit or book zones for events. The solution will also be useful for theaters, cinemas and sports arenas, where it is important to provide viewers with the opportunity to choose a specific location. Conference centers and exhibition halls will be able to use the configurator to book booths and register attendees, while business centers and co-working spaces will be able to manage negotiations and work areas. Even parking spaces or premium waiting areas can be efficiently organized using such a system.

Benefits of the solution and the result

Seat Configurator integration allows users to accomplish the following tasks:

  • Improved user experience. Visitors can find their seats by evaluating the view, proximity to the stage or bar. In this way, the number of purchase errors is reduced.
  • Increased sales conversion. The online seating plan (designer) makes the booking process more visual and convenient, which reduces ticket refunds. The ability to quickly compare prices in different zones (VIP, dance floor, balcony) encourages purchase.
  • Optimizing the occupancy of the hall. The administration can manage the distribution of guests by closing/opening sections depending on demand, seeing the seating chart online. Automatic blocking of already sold seats eliminates duplicate reservations.
  • Increase the average check for premium seats (e.g. tables near the stage) by highlighting them on the map. Integration with the admissions system (e.g., seat reservation + bar deposit).
  • Reduced staff workload. Fewer questions from customers on social networks and by phone (“How to reserve a table?”, “Which seat is better?”, “Do I need to book a table in the club?”). Automate sales and occupancy reporting.
  • Competitive Advantage. A modern tool that can show the seating chart will distinguish the club against the background of establishments where tickets are sold only by list or through third parties (with their commissions).

Additional features include integration of guest seating software with CRM to analyze audience preferences. As a result, the implementation of such tools not only simplifies the ability to book a seat in a restaurant/club/concert for guests, but also helps the club to maximize profits and effectively manage resources.

Technology stack

The project is implemented using modern frontend technologies that provide high interactivity, stable performance and cross-platform.

  • JavaScript + SVG – provide vector accuracy, interactivity of elements and the ability to programmatically control the scheme.
  • Three.js – used to create volumetric or translucent elements (e.g., to visualize hall levels or VIP areas). It expands the perception of the scheme, makes the interface more modern and informative. The tool allows you to flexibly manipulate zones, seats and tables without losing quality and productivity
  • HTML, CSS (SCSS) – responsible for the structure and styling of the configurator, providing adaptive layout and fast loading of the interface on any devices.

The implementation of the configurator takes into account performance and UX requirements. The solution is scalable, easy to integrate into the admin panel and does not require additional modules to be installed on the client side.

The online seating configurator developed by AVADA MEDIA for Ibiza Beach Club has become a modern solution that meets the needs of both customers and businesses. It combines visibility and interactivity to automate the booking process, simplify the work of staff and increase the level of service. Thanks to the visual map of the hall, users get a convenient way to select and purchase tickets, while the administration gets a powerful tool for managing occupancy, dynamic pricing and analytics.
